Building KC Payroll for Biometric Attendance

The challenge

Indian manufacturing and SMB clients needed a payroll system that connects directly to fingerprint attendance machines — not manual Excel imports. They also wanted employee self-service and a path to SQL Server when headcount grew past a few dozen.

Typical pain: punches sat on the device until someone copied a USB file, overtime was typed twice, and PF/ESI sheets did not match the attendance register when an inspector asked.

Our solution

We built KC Payroll with SBXPC SDK integration over TCP/IP, a web admin dashboard, Windows service deployment, and a real-time push listener for instant punch sync. Salary components follow Indian statutory habits the clerk already knows — not a US-style HR suite.

How we rolled it out

We start with one attendance machine and one pay group. After a parallel run against the old Excel sheet, punches go live and salary is processed from the same database. Support stays with the Nalagarh team so a jammed device is a phone call, not a three-day ticket.

Results

Clients reduced manual attendance work by hours per week and gained reliable payroll runs with audit trails. The system runs as a Windows service with a GUI monitor for non-technical admins. See also our Himachal SME payroll guide.

What we learned

The first week is about the biometric clock, not the salary formula. If punches arrive late, overtime debates never end. We now insist on a TCP/IP test from the payroll PC to the device before we import a single employee. After that, a parallel salary run against last month’s Excel catches rounding and leave mistakes.

Support from Himuda Colony, Nalagarh matters when a sensor fails on payday. Cloud HR suites cannot visit the gate. If you run SBXPC or similar machines in Himachal or North India, start with one device and one pay group.
