Paper visitor books fade, pens go missing, and nobody knows who is still inside after shift end. For factories near Baddi–Nalagarh and multi-floor offices, a clean digital visit log is now a basic control — not a luxury. Meeters expect a badge; auditors expect a searchable list.
What a modern visitor desk should capture
- Name, company, purpose, host employee
- Optional ID type / photo at gate (camera or phone)
- In time, out time, and “still inside” list
- Printable pass or screen badge for guards
Paper vs software
Paper is cheap on day one. It fails when a fire drill needs a headcount, when HR asks “who visited last month?”, or when security must bar a repeat offender. Software stores the same fields every time and exports reports in seconds.
Plant vs pure office
Plant gates need large buttons, dual language labels, and LAN reliability. City offices may prefer tablet kiosk check-in. Both benefit from the same domain model: visitor → host → pass → exit.
On our demo floor, GateBot walks this flow interactively (KC AI BOTS). For live deployments we often pair visitor control with device policies on door tablets.
Rollout tip
- Start with one main gate for two weeks
- Train two guards — not the whole plant at once
- Print badge only after host is chosen (cuts ghost visitors)
- Review “still inside after 8 PM” every evening
